Your Aircall invoice is divided into several sections that outline your subscription details, usage, and any applicable taxes or fees. This guide explains each section so you can easily understand how charges are applied to your account.

Invoice overview (Top Section)

The top section of your Aircall invoice provides key information about your billing details.

You’ll find:

  • Invoice title and number: A unique invoice identifier, for example Invoice #INV-XXXX.
  • Issue and due dates: The date the invoice was issued and the payment due date.
  • Billed From: Aircall billing information.
  • Billed To: Your company’s billing information.
  • Contractual PO: Your purchase order number, if included in your contract.
Note: The due date appears only on invoices for customers paying by bank transfer.
For Direct Debit or credit card payments, the amount is automatically debited on the invoice issue date.

Payment details (bottom section)

At the bottom of your invoice, you’ll find details related to your payment method.

For clients paying by bank transfer

This section includes:

  • Payment details: Account holder, bank name, IBAN, and BIC/SWIFT information for wire transfers.
  • Due date: The final date by which payment must be received, visible only for bank transfer payments.
  • Payment methods: Supported options such as SEPA, ACH, BACS, and BECS.
  • Support links:
  • Late payment policy: Details on penalties for overdue payments and any applicable collection fees.

For clients paying by credit card or direct debit

Aircall’s bank details are not displayed on invoices paid by credit card or direct debit.

Users and numbers

This section outlines the setup of your users, numbers, and related subscriptions.

  1. Base plan: Standard users and numbers included in your main subscription (Ex: Standart User License Professional, Paid Phone Numbers, Free Phone Numbers)
  2. Add-ons: Any provisioned or standard add-ons enabled on your account (Ex: Analytics & AI Assist Pro)
  3. Call Bundles: Subscribed Aircall bundles, such as AI Voice or standard Call Bundles (Ex: AI Voice Agent Minutes Bundle)
  4. Additional users and numbers: Extra users or phone numbers added beyond your base plan (Ex: Additional Numbers)
  5. Recurring fees: Ongoing charges such as CRF (Compliance Recovery Fee) and E911 Recovery fees.

Understanding standard users and add-ons

The add-ons are shown as separate line items on your Aircall invoices. Standard user refers to the number of licenses included in your plan. It does not account for any additional users that may have been added later.

Important: The number of add-ons listed on your invoice reflects the total number of standard users included in your plan. This amount will be billed whether or not the add-ons are activated.
Tip: The price for additional users includes all add-ons. As a result, the cost per additional user will appear higher than the standard user price on your invoice, since it combines the base price and all add-ons.

Included calls from the previous month

This section lists all calls made during the previous billing period that are included in your plan at no extra cost. These typically include:

  • Inbound non-toll-free calls
  • Calls included in your purchased Call Bundles

For example, a client subscribed to the LATAM & North America Call Bundle will see these calls reflected here.

You can review your included destinations directly from your Aircall plan page. (This section is only visible to users with Owner permissions.) For more details, visit Understanding your subscription and Aircall plan.

Calls from the previous month

This section displays all billable calls made during the previous billing period, including:

  • Premium calls
  • Toll-free calls
  • Any calls not included in your contract

Note: Invoices always cover the previous month usage.
For example, an invoice issued on May 14, 2025, includes calls made between April 14 and May 13, 2025.

AI Voice Agent

This section shows your AI Voice Agent usage when you are subscribed to a Voice AI bundle. Usage is displayed as one line per pricing tier, for example:

  • First 50 minutes: Free
  • Next 500 minutes: $0.99 per minute
  • Next 2,000 minutes: $0.69 per minute
  • All minutes above 2,550: $0.49 per minute

Messages from the previous month

This section summarizes all SMS, MMS, and WhatsApp messages sent during the previous billing period. It differentiates between billable and free usage based on your plan and message type.

Total

The Total section shows the overall amount due on your invoice, including any applicable taxes.

Examples of tax rates include:

  • France: 20 percent
  • Australia: 10 percent

For US-based customers, this section provides a detailed breakdown of taxes and fees based on the registered state location of your company.
