The voicemail drop feature helps teams that place a high volume of outbound calls. Since many calls reach voicemail, agents often spend significant time leaving similar messages. Voicemail drop streamlines this workflow by allowing agents to submit a pre recorded message with a single click after the beep.
Agents can record and manage their own messages, then quickly submit one during any standard outbound or power-dialer calls.

How to access voicemail drop
Voicemail drop is available on the Aircall Professional plan.
It is supported on the Aircall Workspace desktop and web applications. Support for iOS and Android will be added soon.
A voicemail drop button appears in the call details view when at least one voicemail drop message has been configured in call settings. Users can submit a message as soon as they reach an answering machine and hear the beep.
How to set up voicemail drop messages
At least one message must be configured in call settings before voicemail drop can be used. Messages are recorded through each user's microphone and are unique to the individual user. Other users in the organization cannot access them.
To record or edit voicemail drop messages, click your name in the bottom left corner, select Settings, then open the Voicemail drop section in Call settings.
Limitations and tips
Before recording, keep in mind:
Only outbound calls are supported
Up to 10 messages can be recorded per user
Each message can be up to 180 seconds
Message names must be unique and cannot exceed 48 characters
Note: Some answering machines limit voicemail duration. Keep messages short to ensure they are delivered successfully.
Recording message for voicemail drop
Record a voicemail drop message
Your first recording becomes the default message. You can change the default at any time. During a call, any saved message can be selected if the default is not appropriate.
Steps:
Open the Voicemail drop settings view.
Enter a recording name of up to 48 characters.
Click Record. A three second countdown appears before recording begins.
Record your message. You have a three minute limit. Recording stops automatically if you exceed the limit.
Listen to the recording to confirm quality.
Click Redo if you need to re record.
Click Save to store the message.
Important: Verify your microphone configuration and permissions before starting a recording.
Manage existing voicemail drop messages
Click the edit icon on any saved message to manage it. You can:
Listen to the recording
Rename the message
Set as default to make it the one click option
Delete the message permanently
Drop a voicemail message
Timing is critical. Always wait for the voicemail beep before clicking the voicemail drop button.
Important: Clicking the button before the beep may result in the message being incomplete or not delivered.
Submit the default message
Steps:
Reach the contact's voicemail.
Wait for the beep.
Click Voicemail drop.
The call ends automatically and a notification confirms successful submission.
In the call details, you will see that a voicemail was dropped.
Submit a message from the list
If you have multiple messages:

Reach the contact's voicemail.
Wait for the beep.
Click the dropdown arrow next to the main voicemail drop button.
Select the message you want to use.
The call ends automatically and a success notification appears.
The call details will indicate that a voicemail was dropped.
View history and apply filters
In the Inbox, outbound calls that include a voicemail drop show a voicemail drop icon in both the Conversations and Calls pages.
For faster searching, you can filter by Call types > Voicemail submitted in the Calls page to show only calls where a voicemail was dropped.
Errors
Errors may occasionally occur:
During recording: the message could not be saved
During deletion: the message could not be deleted
During modification (rename or set as default): the message could not be updated
During submission: the message could not be submitted

Frequently Asked Questions (FAQs)
What happens if the person I call answers but I accidentally click the voicemail drop button?
The call ends immediately on your side. The person you called remains on the line and hears the voicemail recording. After the recording finishes, the call ends for them. No voicemail message is left.
Can I drop a voicemail if the call is warm transferred?
No.
Can I drop a voicemail during an internal call?
No.
What happens if I click the voicemail drop button before the beep?
Your recipient may not receive the recording or may receive an incomplete message.
What happens if I speak after the beep and then click the voicemail drop button?
Your contact will hear both your spoken message and the pre recorded message.
What happens if I wait too long after the beep before clicking the voicemail drop button?
The message may not be transmitted. The system may interpret the delay as silence, which can cause the call to disconnect on the recipient's side while you remain connected.
Can I request to disable voicemail drop for my account?
Yes. An admin can request this by submitting a Support ticket.
Why can’t I hear my Voicemail Drop message when I play back a call recording in the Aircall Dashboard?
If you leave a Voicemail Drop message on a contact’s voicemail, the call recording in the Aircall Dashboard will not play back the Voicemail Drop audio. When you later listen to that call from the Dashboard, you will not hear the Voicemail Drop recording itself.
