Admins install the Microsoft Teams and Aircall integration for the organization, then each user adds the Aircall Workspace app from the Microsoft Teams marketplace. This article explains the full setup process, required permissions, number configuration, availability sync, and best practices.
Admin installation
Before starting, ensure:
You have Global Administrator rights or Root User role in Microsoft Teams and Admin role in Aircall
You use the same email address for both accounts
Steps:
In Microsoft Teams, select Apps in the left-hand menu and search for Aircall.
Select the Aircall application, then click Add.
Accept the requested permissions by selecting Continue. You should only need to accept these permissions the first time you access this page.
On the redirected page, click Get started.
A new window may appear prompting you to log in to your Microsoft account. Click Accept to allow permissions.
Note: If permissions are denied, you can allow them later in Microsoft Teams:
https://admin.teams.microsoft.com → Teams apps → Manage apps → Aircall → Permissions → Review permissions.
If you are not logged in to the Aircall Admin Dashboard, you will be prompted to log in.
Authorize Microsoft Teams to access your Aircall account.
Note: If you do not see the authorization screen and only land on the Dashboard, close the window and click “Get started” again.
Add at least one phone number to complete the integration. For more information on how to add numbers, please visit our article Assigning your Phone Number to your Integration.
Important: After setup, make sure to add all numbers that users will place or receive calls on. This ensures proper status and availability syncing.
Configuration in the Aircall Dashboard
Once installation is complete:
Go to to the Aircall Dashboard > Integrations & API.
Select MS Teams under My Integrations
In Connected numbers, add all numbers used by team members who will rely on the integration.
User configuration
Each user must complete two steps:
1. Install Aircall in Microsoft Teams
Search for Aircall in Teams
Click Add
Admins can also preinstall the app for all users through Microsoft Teams.
2. Configure Availability Sync
Users must set their availability sync preferences in the Aircall Teams app:
Open the Aircall app inside Microsoft Teams
Configure Availability Sync settings
Important: Availability sync from the Teams integration overrides internal availability settings in Aircall.
