Some days might be busier than others and there may be times when you are unable to take a call. Whether you're jumping into a meeting or just taking a break, you have the option to change your status in the phone application.
Changing your availability from the phone is simple.
-
Click on your user icon located in the lower right-hand corner of the screen to open Settings.
-
Below your profile name, you will find the availability options: Available, Auto, and Unavailable.
When selecting Unavailable, you will additionally need to select from the unavailable reasons listed below:
-
On a break
-
Out for lunch
-
In training
-
Back office
You will not be able to receive any calls (you can still make outbound calls).
When you are Available, you will be able to receive calls and your Phone will look like this:
If you do not want to toggle between Available and Unavailable throughout the day manually, you can set yourself into the Automatic Schedule setting. The Automatic schedule setting allows you to pre-set your working hours so your phone will move from Available to Unavailable automatically.
Please keep in mind that if you have set up a Wrap-up Time on your user profile, you will be shown as in After-call work from the Activity Feed. This means that you will not be available to take calls until the Wrap-up time has been completed or you push yourself back to Available sooner.
Changing the Status from the Dashboard
If you are an Aircall administrator, you can change the Availability status for yourself or another user from the Dashboard.
-
Log in to your Aircall Dashboard.
-
Click on the Users section located in the navigation bar on the left-hand side of the screen.
-
Select a User.
-
Refer to the section called Working Hours.
Sleep Mode or Idle Computer
If you are to any of the Unavailable statuses and your computer goes into sleep or idle mode, your status will be kept. However, if your status is Available and your computer goes into sleep or idle mode, your status will not be kept and you will be set Offline. Your status will also change to Offline if you log out of the Aircall app, switch off your computer, or lose internet connection.
Please note: If your computer is configured to automatically disconnect from Wi-Fi when locked or in sleep mode, and you want to prevent your availability status changing to Offline, you should modify your computer settings to prevent Wi-Fi disconnection upon locking or going to sleep.
