The Aircall–Zapier integration allows you to automate workflows based on activity in Aircall. Once connected, you can select from a wide range of triggers and actions to build Zaps that connect Aircall with the other tools your team uses. This article guides you through the full setup process.
If you wanna know more about the Zapier integration, please see Using the Zapier integration: triggers, actions, and troubleshooting.
Before you start
Make sure you meet the following requirements:
- You have Admin access to your Aircall Dashboard
- You have an active Zapier account
- At least one Aircall number is connected to the integration
Note: This integration is not the same as Webhooks by Zapier. If you plan to use Webhooks by Zapier, install the Webhooks integration in the Aircall Dashboard instead of the Zapier integration.
Setting up the integration
You can set up the Aircall–Zapier integration in two ways: from the Aircall Dashboard or directly in Zapier while creating a Zap. Both methods lead to the same result.
Option 1: Starting from the Aircall Dashboard
Steps:
- Go to your Aircall Dashboard > Integrations & API from the left sidebar
- Search for Zapier V4 in the All Integrations section and select it
- Click Install integration
- You will be redirected to Zapier
- Log in to your Zapier account if prompted
- Once you are logged in to Zapier account you will be redirected to create Zap screen to create a new Zap.
- In 1. Trigger, search for and select Aircall 2.0
Note: Please note same steps needs to be followed if you want to add an “Action” in Zaps that is supported by Aircall 2.0 App based on a Trigger(s) from some other Platforms or Apps in Zapier.
- Choose a trigger event from the list in Trigger event
- Under Account, select an existing Aircall account or click + Connect a new account
- If you select an existing account and its connected to Zapier, you wont be redirected to Aircall dashboard to authenticate and you can proceed with next steps in Zap setup. If you select to connect a new account then you will be redirected to Aircall Dashboard to login.
- Post Login. You will see the Aircall Authorisation screen. Click Authorize
- Under Select numbers, click Add numbers
- Choose the numbers you want to link and click Add numbers to confirm
Important: You may skip adding numbers temporarily, but at least one number must be connected for call activity to be sent to Zapier. You can add or remove numbers later in the Dashboard.
For more details, see Assigning your phone number to your integration.
- Once authorised, The integration will be installed in Aircall Dashboard, from where you can access the Integration settings to manage it.
- Continue to complete and test your Zap
Note: While creating new Zaps, if you select an Aircall account that is already connected with Zapier then the new Zaps will be connected to existing installed integration where as if you select to “connect a new account” a new integration will get installed.
Option 2: Starting from Zapier
The steps to install integration from Zapier are similar to one listed above
Steps:
- Log in to your Zapier account
- Click Create > Zaps
- In the Trigger step, search for and select Aircall 2.0
- Select a trigger event
- Under Account, choose an existing Aircall account or click + Connect a new account
- If connecting a new account, log in to Aircall Dashboard and click Authorise
- In Aircall Dashboard, under Select numbers, click Add numbers
- Select the numbers you want to connect and confirm
Important: You may skip adding numbers temporarily, but at least one number must be connected for call activity to be sent to Zapier. You can add or remove numbers later in the Dashboard.
For more details, see Assigning your phone number to your integration.
- Continue to complete and test your Zap
Note: If you select an already connected Aircall account, you will not be redirected to authenticate again. Selecting Connect a new account will create a new integration instance in your Aircall Dashboard.
Completing and testing your Zap
Once your trigger is configured and your Aircall account is connected, complete the setup by adding an action, testing the integration, and publishing your Zap.
Steps:
- In the Action step, select the app you want to connect, for example Gmail or Google Sheets
- Map your Aircall fields to the corresponding fields in the selected app
- Return to the Trigger step and click Test trigger
- Perform a test action that matches your selected trigger event
- For example, if your trigger is a call ending, make a test call and let it complete
- Wait 30 to 60 seconds, then click Test trigger to retrieve test data
- Select the test event and click Continue with selected record
- Review the data to confirm it is mapped correctly
- Click Publish to activate your Zap
Once published, your Aircall–Zapier integration is active. You can manage it at any time from the Integrations & API section in your Aircall Dashboard.
Upgrading from a previous version
Aircall has introduced Zapier V4, which includes a significantly expanded set of triggers and actions.
Important: Migration from a previous version to Zapier V4 is not supported through the Aircall Dashboard. If you are using an older version, you must set up the new integration manually and rebuild your existing Zaps using the updated triggers and actions.
