The Aircall–Zapier integration lets you build automated workflows based on activity across calls, contacts, users, numbers, messages, and Aircall AI. This article covers how triggers and actions work, where to find the full list of what is available, and what to check if your integration stops working as expected.
For setup instructions, see How to configure your Zapier integration.
Understanding triggers and actions
Triggers are the starting point of a Zap. A trigger fires when a specific event occurs in Aircall, for example when a call ends or a new contact is created. This starts the automated workflow in Zapier.
Actions are the steps your Zap executes in response to a trigger. Actions can be performed in Aircall, for example adding a tag to a call, or in a connected external app.
Together, triggers and actions let you connect Aircall to the other tools your team uses, from CRMs and helpdesks to spreadsheets and messaging apps.
Available triggers and actions
The full list of triggers and actions available in the Aircall–Zapier integration is maintained directly in the Zapier app listing, where you can browse by category and search for specific events.
Note: Triggers and actions related to Aircall AI are only available to customers with an active Aircall AI subscription. Triggers and actions related to AIVA require an active AI Voice Agent subscription.
Best practices
- Start with a test Zap. Before building complex workflows, test your trigger and action combination with a single call or contact event to confirm data is mapping correctly
- Use specific triggers. Narrow down to the event that matters for your workflow, for example "a call ends" rather than "a new call starts", to reduce noise and unnecessary Zap runs
- Connect the right numbers. Only numbers linked to the integration will send data to Zapier. If a trigger is not firing, check that the relevant number is connected in your Aircall Dashboard
- Rebuild existing Zaps when upgrading. If you were using the previous version of the integration, existing Zaps will need to be rebuilt using the updated trigger and action library
Troubleshooting
If your Zaps are not triggering or calls are not being logged, work through the checks below in order.
Check that the integration is active
Steps:
- Go to your Aircall Dashboard > Integrations & API
- Find your Zapier integration and open it
- Confirm that Active is set to Yes
If the integration is inactive, re-enable it and test again.
Check that your numbers are connected
- In the Zapier integration settings in your Aircall Dashboard, scroll to the Numbers section
- Confirm that the number or numbers involved in your test calls are listed and connected
If a number is missing, add it via Select numbers and test again. Call activity from numbers that are not connected to the integration will not be sent to Zapier. If a number is missing, add it by clicking Select numbers, then test again. Call activity from numbers that are not connected to the integration will not be sent to Zapier, regardless of your Zap configuration.
Test with a specific call
If the integration is active and numbers are connected but a specific Zap is still not firing, test with a known call.
Steps:
- In the Zapier integration settings in your Aircall Dashboard, go to the Calls section
- Enter a call ID from one of the connected numbers and click Submit
- Confirm the call appears in the results
Important: Call logs are only searchable within a 7-day window. Use a recent call ID when testing.
- If the call does not appear, the number may not have been connected at the time of the call. Reconnect the number and run a new test call.
- If none of the above steps resolve the issue, contact Aircall Support with your integration ID, the affected number or numbers, the call ID, and a description of the trigger or action that is not working.
FAQs:
Where can I see all available triggers and actions?
The full and up-to-date list is available directly on the Aircall app listing on Zapier. It reflects what is currently live and searchable by category.
The Aircall app used to be invite-only. Do I still need to accept an invite?
No. Aircall is now publicly listed on the Zapier Marketplace. You can find and connect it directly from Zapier without an invite link.
My trigger is not firing. What should I check first?
Start by confirming that the Aircall number associated with the event is connected to the integration in your Aircall Dashboard, and that the integration itself is set to Active. The troubleshooting section above walks through each check in order.
Can I use the same trigger for multiple Zaps?
Yes. You can create multiple Zaps that use the same Aircall trigger event and route data to different apps or perform different actions.
I was using the previous version of the integration. Will my existing Zaps keep working?
Existing Zaps built on the previous version may not be compatible with the new version. You will need to reconnect using the new integration and rebuild your Zaps. Migration is not supported via the Aircall Dashboard.
Do Aircall AI triggers and actions work on all plans?
No. Aircall AI triggers and actions require an active AI Assist or AI Assist Pro add-on. AIVA triggers require AIVA to be configured and added to a Smartflow.
A contact is not appearing automatically in the Insight Card during a call. Is this a Zapier issue?
The Zapier integration does not surface Insight Cards directly. However, with the new triggers and actions available in the integration, you can build a Zap to support Insight Card functionality.
