When purchasing a number on the Aircall Dashboard, you may find that some numbers require documentation before they can be activated. This process ensures compliance with local regulatory requirements.

Important: Only users with Admin rights can submit verification information.

Submitting required documentation

Once you created a number on the Aircall Dashboard, you can choose to submit the necessary information immediately or skip it until later.

Important: If you choose to skip this step, the number will remain inactive and you will not be able to make or receive calls until the documentation has passed verification.
  • If you choose to submit the information immediately after numbers creation, click Provide Information.

  • If you choose to verify the documents later, you can do so on the Numbers page. Inactive numbers will be clearly marked.

  • If you click on the number, you will see a message prompting you to verify it.

  • From here, select either Verify number or Submit to begin the verification process.

Best practices for document submission

  1. Check the number purchase requirements by country article to confirm which documents and information are accepted for your number type. Requirements vary by country and number prefix.
Note: Example: A French local address allows the purchase of any available local French number. A Madrid address allows only local Madrid numbers. For Barcelona numbers, an address in Barcelona is required. Always verify local requirements before submitting your documents.
  1. Ensure all submitted information and documents are accurate and up to date. Expired or outdated files will not be accepted.
  2. Submit complete documents. For instance, the business registration must include all pages, the ID must show include the front and back sides.
  3. Screenshots of web pages (such as business registry sites or Google Maps showing an address) are not accepted as proof of address.

Providing verification information on the Dashboard

Steps:

  1. Select whether you are submitting documentation as:
  • Business: Buy numbers on behalf of your organization using the company's documents.
  • Individual: Buy numbers on behalf of your organization using the employee’s personal documents.

  • Complete all the required fields, upload your supporting documents, and click Submit.

To comply with local regulatory requirements, Aircall must collect accurate and complete information about its customers.

Important: If you cannot provide the requested data, Aircall will be unable to provision or activate the requested phone number.

After submitting your RIS, Aircall will review and verify the information provided to ensure compliance with local regulations. This process typically takes 48 to 72 business hours. Once your RIS has been validated, you will receive an update indicating whether it has passed or failed verification checks.

Note: Address data submitted and verified for a specific phone number may be reused for purchasing additional phone numbers in the same geographic area. You may be asked to provide a new RIS, such as a local address and supporting documentation, to obtain a number in a different location.

Aircall may also send regulatory compliance communications asking you to update your RIS when regulation changes or carrier notifications require additional information.

Pending and rejected numbers

Pending numbers

After submitting all necessary information and documents, your number will remain in the Inactive section until approval. It will display an Awaiting approval badge while under review. 

Important: When a number is pending verification, you will not be able to use it with Aircall.

Document verification typically takes 1–3 business days after submission. Once validated, the number will be activated, you will receive a confirmation email and you will be able to make and receive calls.

Note: Processing times may vary by country depending on local carrier regulations.

Rejected or invalid numbers

If your submission is rejected, the number will display a Not valid notification badge. Clicking the number will show an error message indicating that the verification failed.
