Accessing your taxes and commissions

You can view all tax and commission details directly on your invoices.

Steps:

  1. Log in to your Aircall Dashboard --> Company name
  2. Navigate to Billing tab.
  3. Select Invoice PDF to download and review your billing details.
Note: Your Company’s billing address, which determines your tax and commission liability, is displayed in the top right corner of your Invoice PDF.

Determining your tax and commission liability

Taxes and commissions are calculated based on your Company’s billing address. Local, state, and federal assessments are automatically applied according to the relevant jurisdiction.

If your billing address changes, the applicable taxes and commissions may also change.

Reasons for changes in your monthly bill

If your invoice total has increased, it is likely due to the addition of tax and commission charges required by your local, state, or federal government. Aircall is legally obligated to collect and remit these taxes and fees on all Aircall Services.

Understanding new taxes and fees

Each tax or fee is labeled and itemized on your invoice. The amounts are displayed individually and added to your total invoice amount.

Tip: Review each line item on your invoice to see a breakdown of taxes, commissions, and fees.

Why you may not have been charged previously

Aircall regularly reviews its legal obligations related to tax collection and remittance. When regulations change or new requirements take effect, Aircall implements the necessary updates to ensure ongoing compliance with government rules and tax laws.

Regulatory and administrative fees

In addition to taxes, your invoice may include cost recovery and compliance-related fees. Below are explanations of the most common ones.

Compliance and Administrative Cost Recovery Fee (CRF)

The Compliance and Administrative Cost Recovery Fee helps recover certain expenses Aircall incurs while providing services. These may include:

  • Calculation and payment of government-imposed fees (such as Federal Regulatory Fees or Telecommunications Relay Service contributions).
  • Compliance with regulatory requirements, including accessibility, numbering, privacy, anti-fraud, caller ID authentication, and dialing regulations.
  • Obtaining and managing phone numbers, handling calls from third-party networks, and maintaining network infrastructure.
  • Data center operation, protection, and maintenance.
  • Administrative activities such as filing patents, trademarks, and maintaining proprietary rights.
Important: The CRF is not a government tax or a government-mandated charge. However, it is a taxable item in most jurisdictions. It is billed per user at the same frequency as your user subscriptions.

E911 Regulatory Recovery Fee

The E911 Regulatory Recovery Fee is a monthly recurring charge for providing emergency calling services (911 and E911) to VoIP customers who make and receive calls to and from the Public Switched Telephone Network (PSTN).

  • This fee is not government-mandated.
  • It is billed per user, at the same frequency as user billing.
  • The rate is the same across all applicable lines.

  1. Go to the Aircall Help Centre.
  2. Click on Contact us.
  3. Submit a request for a W-9 form within the Billing, Invoicing, and Payments option : 
    • Option 1: Update billing information --> I want to add/update a VAT on my invoice
    • Option 2: Request a document --> I need a tax form

FAQs

Is the Regulatory Cost Recovery Fee new?
No. Similar fees have existed across the telecommunications industry for many years, though providers may use different names such as “regulatory programs fee” or “administrative charge.”

Why is Aircall applying this fee now?
Aircall previously absorbed these regulatory and administrative costs. Due to rising expenses, a portion is now recovered through the CRF to maintain service quality.

Do other providers charge similar fees?
Yes. These cost recovery fees are standard across the telecom industry, even if labeled differently.
