There are several ways in which you can upload your contacts into the Aircall Phone. Though, when uploading your contacts in this way, it will only exist in the Aircall Phone application and will not be updated in real-time synchronization with the tools you've integrated with. This means that you will have to periodically update your contacts to ensure accuracy.
When using some of our integrations, including Salesforce, HubSpot, Pipedrive, Zendesk, Intercom, and Front, you’ll now be able to use our contact synchronization feature. If you choose to enable this feature, your contacts will:
-
Automatically sync from your integrated tools to Aircall
-
Contacts from your integration will be saved and visible for everyone in your company using Aircall
-
Duplicate contact creation will be blocked
Enabling Contact Synchronization:
If you would like to make sure this feature is enabled, please follow the steps below:
-
Login to your Aircall Dashboard.
-
Click on Integrations & API, located in the navigation menu on the left-hand side of the screen.
-
In the My integrations tab, click on one of the applicable integrations that you would like to enable contact sync for
-
Select the Settings tab and scroll to the integration settings
-
Select If a contact exists in XXX, then... Save it in your phone system
As soon as you have updated this parameter in the Settings section of the Integration Dashboard, your contacts from your integrated tool will begin to be saved in Aircall as soon as your agents call a contact for the first time.
⚠️ Please note: Contacts that are saved in the integration, but not in Aircall yet, will be saved and synced into Aircall once a call has been made/received to/from the contact. Once synced, any changes made to the contact in the integration will be reflected in Aircall upon the next call with the contact, or after clicking on Edit in X integration (e.g., Salesforce, HubSpot) and then defocusinng/refocusing on the phone.
Contacts from your integration will not be immediately saved in bulk into Aircall as soon as the feature is enabled. Contacts will save and be synced with Aircall on a call to call basis, meaning that a contact will not be saved in Aircall until a call is made/received to/from that contact. To sync all your existing contacts to Aircall in bulk, please make sure to use the Desktop or Web phone application to import your contacts.
Number Format and Fields
In order to use the Contact Sync function, you'll need to ensure that your contacts are saved with the E.164 format and that you also have the country code included.
Other number formats will not work with this feature.
In order for Contact Sync to function properly, you will need to ensure that you contacts are saved in you CRM or Helpdesk with the number (properly formatted) in the main/primary phone field. Although some integrations may log calls to the appropriate contacts when numbers are saved in different fields or not in the E164 format, the Contact Sync feature relies on E164 formatted numbers in the main phone field (not the mobile or other secondary phone fields).
Editing a Contact in Aircall
Saved contacts from integrations cannot be edited directly in Aircall. If you need to update or edit a contact, you’ll need to do so directly from your CRM.
Please also note that the contact synchronization will not be visible from Aircall’s Live Feed.
Contact Sync and Aircall's Mobile Apps
Contact Sync is available on mobile for both the Android and iOS apps.
