With the Aircall–HubSpot integration, you can automate key post-call actions in HubSpot using workflows. To make this possible, Aircall updates four custom contact properties on every call. These properties can be used to enroll or re-enroll workflows automatically, helping you build processes that respond instantly to call activity.

Aircall custom properties in HubSpot

The Aircall integration creates four custom contact properties, which are automatically updated each time a call occurs:

Last Aircall call timestampUpdated with the exact time each call started.
Last Aircall call outcomeReflects the outcome of the call (for example: Connected, Busy, No answer). If the outcome is “None,” this field will be empty.
Last used Aircall phone numberDisplays the Aircall number used to make or receive the call, formatted in E.164.
Last used Aircall tagsShows the Aircall tags applied to the call. If no tags were added, the field will be blank.

By keeping these fields up to date, Aircall enables HubSpot workflows to trigger actions automatically after each call.

Note: You may be limited by HubSpot’s maximum number of custom properties. If Aircall cannot create one or more of these fields, an error message will appear.
To resolve this, remove any unused properties from your HubSpot account and then manually add the Aircall properties again by following the steps below.

Manually creating custom properties

If some of these fields were not created automatically due to HubSpot property limits, you can manually add them.

Steps:

  1. In HubSpot, go to Settings  > Properties > Create property.
  2. Set the Object type to Contact.
  3. Enter the Label exactly as shown below for each property:
    • Last Aircall call timestamp
    • Last Aircall call outcome
    • Last used Aircall phone number
    • Last used Aircall tags
  4. For better organization, consider creating a new Group called Aircall properties.
  5. (Optional) Add a Description, then click Next.
  6. Set the Field types as follows:

  1. For the Timestamp, Phone number, and Tags properties you will now be able to click Create. For the Outcome property, you will need to add in the following labels and internal values:

Once these properties are created, you can begin building workflows to automate your processes.

Setting up HubSpot workflows

Use these properties as triggers to automate actions such as task creation, follow-up emails, or tagging updates.

Steps:

  1. Go to Automation > Workflows in HubSpot.
  2. Click Create workflow, then select Contact-based workflow and click Next.
  3. Choose Set enrollment triggers, then select Contact properties.
  4. Search for “Aircall” to find the four Aircall custom properties.
  5. Choose the property you want to use as the trigger.
  1. Enable re-enrollment if you want the workflow to trigger each time that property is updated.
  1. Save your trigger, then configure your desired workflow actions.
Tip: Allowing re-enrollment ensures your workflow runs every time a call meets your selected criteria.

These examples demonstrate how Aircall’s properties can be used to tailor workflows for your sales, support, or operations teams.

Limitations

  • HubSpot has restrictions on which properties can trigger re-enrollments. For details, refer to HubSpot’s documentation on workflow re-enrollment.
  • Not all custom properties will show selectable options in HubSpot. For example, when using Last used Aircall tags, you must manually type the tag name instead of selecting it from a dropdown list.
