Use HubSpot Data Sync to create a one-way or two-way contact synchronization between Aircall and HubSpot. This feature complements the main Aircall integration by keeping contact data consistent across both platforms.
Important: HubSpot Data Sync is separate from the main Aircall integration, which is installed through the Aircall Dashboard. It must be installed separately through HubSpot’s App Marketplace. If you want to know more about the main Aircall integration with HubSpot, please visit How the HubSpot integration works.
Integration requirements
You must be a Super Admin or have App Marketplace permissions in your HubSpot account.
Connect the integration
Steps:
In your HubSpot account, click the Marketplace icon in the main navigation bar, then select App Marketplace.
Use the search bar to find Aircall, then click Aircall in the search results.
In the top-right corner, click Connect app.
In the pop-up window, log in to your app account.
Review the requested access permissions, then click Allow.
You will be redirected back to the app page in your settings.
Note: If you are using multiple sync solutions to sync data with HubSpot, consider pausing them or ensuring they do not conflict.
Configure your sync settings
After connecting the app, you will need to turn on the sync and configure whether it will be one-way or two-way.
Steps:
In HubSpot, click the Marketplace icon in the main navigation bar.
Under Manage, select Connected apps.
Click the app > Set up your sync.
On the Choose an object to sync page, select the object you want to sync between HubSpot and Aircall (e.g., Contacts or Leads). Learn more about syncing contacts and leads to other apps.
Click Next.
Creating and updating contacts
Choose how HubSpot and Aircall handle contact updates. There are four configuration options:
| Sync Type | Description |
|---|---|
| Two-way sync (Default) | Syncs new and updated contacts between HubSpot and Aircall. For contacts that already exist in both platforms, their contact properties will be merged. |
| One-way sync from HubSpot to Aircall | Syncs all new and updated contact information from HubSpot to Aircall. Whenever a contact is updated in HubSpot, it syncs to Aircall after the first call made following the update. |
| One-way sync from Aircall to HubSpot | Syncs all new and updated contact information from Aircall to HubSpot. |
Use sync filters
Sync filters allow you to limit the scope of the synchronization. The filters available depend on the connected apps.
Tip: To test your sync, create a static list with a small number of contacts before enabling the sync for all or a larger set of contacts.
Handling duplicates
By default, HubSpot only syncs contacts that have a valid email address. You can disable this by clearing the checkbox in the sync settings.
Deleting contacts
The integration does not delete contacts that have been deleted in the Aircall app.
Resolving data conflicts
When using a two-way sync, data conflicts may occur. For example, if a contact’s First name is Dave in HubSpot but David in Aircall, the conflict is resolved based on the defaulting app.
If the defaulting app has no value in the field, no data will be removed from Aircall.
Note: This setting does not override the sync direction.
Finalizing and reviewing your sync
When you are satisfied with your setup:
Click Review in the top right corner.
Review your sync settings.
Click Save and sync.
The initial sync may take some time to complete. Once finished, contacts will sync within 5–10 minutes of a change.
Any time you turn on a new sync or update settings, HubSpot will automatically import any relevant historical updates.
Edit data sync settings
Steps:
In HubSpot, click the Marketplace icon in the main navigation bar.
Under Manage, select Connected apps.
Click Actions > Edit sync settings.
You will be redirected to the sync settings page.
Turn off data sync
Steps:
In HubSpot, click the Marketplace icon in the main navigation bar.
Under Manage, select Connected apps.
Click Actions > Turn off sync.
In the pop-up box, click Turn off sync.
