With the Aircall–HubSpot integration, every Aircall call is logged in HubSpot as an Engagement (also known as a Call Activity), according to your integration settings. Each Call Activity is assigned an Owner, following the logic outlined in the integration configuration.
Using HubSpot’s reporting tool, you can build reports to track Aircall call metrics—such as total calls, duration, and activity by user, based on the Call Activity and Owner data.
Example reports you can create
Below are several examples of reports you can easily build in HubSpot to track your team’s call activity.
Total calls
This report shows the total number of calls within a selected timeframe.
Steps:
In HubSpot, go to Reports > Reports > Create custom report.
Select Single object, choose Activities, then click Next.
Go to the Visualization tab and drag Create date (or another property) and Count of activities into the Displaying section. Choose your preferred chart type.
Click Filters in the top left, set your desired timeframe in Activity date, then click Add filter > Activity type > is any of: Call and select Apply filter.
Click Save.
Your report will now show the total number of calls for the selected timeframe, grouped by your chosen frequency (daily, monthly, yearly, etc.). Click any data point to view a detailed call breakdown.
Total call duration
This report shows how much time each user spends on calls.
Steps:
In HubSpot, go to Reports > Reports > Create custom report.
Select Single object, choose Activities, then click Next.
In the Data section, add the properties Call duration and Activity assigned to.
Go to Visualization, drag Call duration and Activity assigned to into the Displaying section.
Choose your chart type, click Save, and you’re done.
This report displays total call time per user for the selected timeframe. You can click on any graph data point for more detail.
Average call duration
This report calculates the average time users spend on calls.
Steps:
Follow the same steps as the Total call duration report.
In the Visualization view, change measured by Total to Average for the Call duration property.
Click Save.
You’ll now see each user’s average call duration within the selected timeframe. Click any graph data point for a call breakdown.
Calls made by user
This report shows how many calls each user has made or received.
Steps:
In HubSpot, go to Reports > Reports > Create custom report.
Select Single object, choose Activities, then click Next.
Add the property Activity assigned to.
Go to Visualization, and drag Activity assigned to and Count of activities into the Displaying section. Choose your chart type.
Click Filters, set your timeframe, then click Add filter > Activity type > is any of: Call.
Click Save.
This report displays the number of calls per user for your selected timeframe. Click any data point for detailed results.
