Voicemail Transcription is available for English, French, and Spanish in the Aircall Workspace app on Desktop, iOS, and Android. This feature converts voicemail audio into text so you can quickly review messages without listening to the full recording.

How voicemail transcription works

Transcriptions are displayed directly in your Aircall apps.

You can access voicemail transcriptions in:

  • The To-do section of your Desktop and Mobile apps
  • The Call details view of your Desktop and Mobile apps
  • The History tab of your Desktop app

For each voicemail, you will see a transcription icon in the lower right corner with one of three possible states.

Transcription available

When a transcription is ready, the icon indicates that the transcription is available.

  • The transcription is in a ready state.
  • Clicking the icon opens the transcription.
  • If the voicemail is particularly long, click Read more to expand the full text.
  • Clicking the icon again will close the transcription.
  • Once you have read a transcript, the icon will display a green checkmark (Desktop app only).

Transcription not available

In some cases, Aircall is not able to produce a transcription for a voicemail. In this case, the icon will indicate that transcription is not available.

This can happen when:

  • The recording is in a language Aircall does not support (currently Aircall supports only US English).
  • The recording has a lot of background noise and Aircall is not able to transcribe it with enough accuracy.

Transcription not available: No speech detected

If Aircall detects only silence in the voicemail, it will not attempt to generate a transcription. In this case, the icon will indicate that no speech was detected.

Regardless of the transcription status, you can always listen to the voicemail as usual.

Frequently asked questions

How long does it take for a voicemail to be transcribed?

The turnaround time for a transcription is typically 2 to 3 minutes, although it may take longer for longer calls.

I just received a voicemail. Why is the transcription icon not visible?

If you do not see the transcription icon after 2 to 3 minutes, try refreshing the app screen.

Steps to refresh on Desktop:

  1. Right-click anywhere in the Desktop app.
  2. Click Reload.

Steps to refresh on iOS or Android:

  1. Open the relevant section (for example To-do or Call details).
  2. Swipe down on the screen to reload.

Why is the accuracy lower for certain voicemail messages?

Transcription accuracy can vary based on several factors, including:

  • The caller’s accent
  • Speaking volume
  • Speaking speed
  • Background noise
  • The overall quality of the caller’s connection

How long are transcripts saved?

Voicemails remain available in the apps for as long as you keep them.

When you delete a voicemail:

  • The voicemail recording is removed.
  • The voicemail transcription is removed at the same time.

Where are transcripts stored?

Transcripts are stored in the United States.

In the future, Aircall plans to offer options to store them in more regions.
