There are several ways in which you can upload your contacts into the Aircall Phone. Though, when uploading your contacts in this way, it will only exist in the Aircall Phone application and will not be updated in real-time synchronization with your CRM. This means that you will have to periodically update your contacts to ensure accuracy.
If you use one of the following integrations; Salesforce, HubSpot, Pipedrive, Zendesk, or Intercom, you’ll now be able to use our new contact synchronization feature! If you choose to enable this feature, your contacts will:
-
Automatically sync from one of the CRM’s listed above to Aircall.
-
Contacts from your CRM will be saved and visible for everyone in your company using Aircall.
-
Duplicate contact creation will be blocked.
Enabling Contact Synchronization:
Due to GDPR reasons, this feature is automatically disabled. However, if you would like to enable this feature, please follow the steps below:
-
Login to your Aircall Dashboard.
-
Click on Integrations & API, located in the navigation menu on the left-hand side of the screen.
-
In the My integrations tab, click on one of the following integrations that are applicable to the setting (Salesforce, HubSpot, Pipedrive, Zendesk, or Intercom).
-
Select the Settings tab and scroll to the integration settings.

-
Select If a contact exists in XXX, then...save it in your phone system.

As soon as you have updated this parameter in the Settings section of the Integration Dashboard, your contacts will be saved from your CRM as soon as your agents call clients, leads, or prospects for the first time.
⚠️Please note: Contacts that are saved in the integration, but not in Aircall yet, will be saved, and synced, into Aircall once a call has been made/received to/from the contact. Once synced, any changes made to the contact in the integration will be reflected in Aircall upon the next call with the contact, or after clicking on Edit in X integration (e.g., Salesforce, HubSpot) and then defocus/refocus on the phone.
To sync all your existing CRM contacts to Aircall in bulk, please make sure to use the Desktop or Web phone application to import your contacts.
Number Format and Fields
In order to use the Contact Sync function, you'll need to ensure that your contacts are saved within the E.164 format and that you also have the country code included.
Other number formats will not work with this feature.
In order for Contact Sync to properly work, you will need to ensure that your contacts are saved with a number in the main phone number field of your CRM. Contact Sync will function with the same number fields that call logging does for each respective integration, however secondary fields will only sync if there is also a main phone number. Example: Contact Sync will work for Phone numbers when using the Aircall-HubSpot integration, and will additionally work for Mobile phone numbers if there is also a Phone number saved on the Contact.
Editing a Contact in Aircall
Saved contacts from integrations cannot be edited directly in Aircall. If you need to update or edit a contact, you’ll need to do so directly from your CRM.
Please also note that the contact synchronization will not be visible from Aircall’s Live Feed.
Contact Sync and Aircall's Mobile Apps
Contact Sync is available on mobile for both the Android and iOS apps.
