Automatically setting up your daily working hours allows you to be able to open up your Aircall application and start your day in a flash. If you are an Aircall admin, you can easily define your own working hours or another user's working hours for which you will only receive calls.
How are working hours categorized?
Available: users will receive calls at all times
Auto: users can choose their working hours for each day of the week that they will be available to take calls
Unavailable: users will not receive any calls at any time
Setting the Availability through the Dashboard
Log in to the Dashboard.
Click on Users in the left-hand navigation menu.
From the users list, find and select the user you want to set up Availability for.
There are two ways you can configure availability for a specific user.
First, click the drop down arrow next to the specific user in the Availability column (a). Select whether you want your agent to appear as Accept (accepting calls), Unavailable (not accepting calls), or Auto (the agent will appear as available or unavailable depending on your scheduled business hours):
To edit your business hours (and thus when your agent will appear as available and unavailable) click Change (b). You will then be redirected to the Availability settings tab.
Second, you can configure user availability via the User settings page by clicking directly on a specific user in the users list:
- Navigate to your user of choice from the Users list (a).
Select the Availability settings tab (b).
Set the agent's Availability as Auto and define your working ours from the Time slots (c).
Click Save changes (d).
⚠️ Please note: When using the phone app, Users can manually make themselves Unavailable during their working hours and choose an unavailable sub-status. Admins can not change or select the unavailable sub-status from the Dashboard.
Setting your working hours on your Desktop or Web Application
Log in to your Desktop or Web Application.
Go to your User Icon located in the lower right-hand corner of the app and click on Preferences.
Click on Working Hours, select your timezone, and define your working hours by clicking on the time slots that you'd like to activate.
⚠️ Please note that when you set working hours in your profile, they will apply to all Aircall lines that you are assigned to when receiving calls.
