Aircall has a few different versions of the phone, all being the same in functionality and appearance but offered through different platforms:

Desktop Phone for Windows or macOS: you can download the phone here aircall.io/download

Web application phone.aircall.io

Mobile application (either Android or iOS): you can download the application in the relative app store

CTI (within an Integration): you can ask your account Admin to install the CTI for you.
💡 Just like with other software, there are some minimum device requirements to pay attention to.
How to access the Aircall Phone Applications

Your account Admin needs to add you to the account by following the instructions summarized in this article.

Once your user has been created in the Aircall Dashboard, you will receive an email that invites you to Aircall by your Admin.

Accept your invitation request sent by email.

Follow the link to create your password. Please note that the password minimum is 8 characters and requires:

1 lowercase character [a-z]

1 uppercase character [A-Z]
-
1 digit [0-9]
-
1 special character [*.! @#$%^&(){}[]:;<>,.?/~_+-=| ]

Download the Desktop or Mobile Application or access the Web App

Log in with your email and password.
⚠️ If Google Sign-in or SAML Authentication is enabled for your company, you will be required to use Google or another tool to authenticate, and password credentials will not work anymore unless you are a privileged user.

Select your language, test your headset and microphone.
⚠️ Please note that if your Account Admin has not assigned you a phone number, you will be unable to make and receive calls and you may encounter the following error message in the Keypad: ''You don't have a number associated to your account yet'.
Once you have been assigned to a phone number, it will appear in your numbers list in the Aircall Phone:
If you are assigned to multiple numbers, choosing a default calling country and number to call from will ensure consistency with your customers.
🎉 Now you are ready to start making and receiving calls.
How to make a phone call using the Aircall Phone applications

Open the Aircall Phone application of your choice.

Click on the Keypad section located at the very bottom of the Phone application.

If you are assigned to multiple numbers, select a line to call from, if different from the default.

You can use either the search bar to search for an Aircall teammate or contact or you can use your keyboard or Aircall keyboard to type out a number.

Click on the green phone icon located at the bottom of the application.
You can also dial phone numbers using the Aircall chrome extension Click-to-dial. This feature will help you to identify phone numbers on a webpage and add them to an automated calling queue.
⚠️ If you type a number without adding its country calling code, it will automatically be associated with your default country calling code.
You will need to change the default country code in case the number you need to call has a different country code. There are two ways to perform this action:

Click on the country flag located in the upper left-hand corner of the app and search for the country.

Use the keyboard to type out the country code.
In-call features
There are several features you can utilize during the call:
1. Quality notifications
An enhanced notification will appear in the upper corner if you are experiencing call quality inconsistencies. After the notification has appeared, clicking on the tooltip will present a small description of the experienced issue. From there, you can click back to the in-call screen as needed.

2. Check your network and your headset settings
You can check the status of your network to see your connection type and call quality indicators. Your headset should also appear connected.

3. Call recording
You can start or activate the recording. The Call recording will start automatically if the call recording feature is activated for the number in the Aircall Dashboard.
⚠️ Before activation, please make sure that call recording is legal in your country of residence.
4. Assign
You can choose to assign a call to a teammate by selecting the Assign button. A new menu will open a list of teammates to choose to Assign to.

5. Tags
You can quickly add a tag by selecting the Tag button. Once selected, a Tag menu will slide up from the bottom and you will be able to select as many tags as required.

6. Notes
While in a call with a customer, you can quickly add notes by selecting the Notes button. Once selected, the Notes bar will open and you can begin typing. When you have finished, push Done and your Notes will automatically be saved.

7. Caller Insights
An insight card is a piece of information displayed in the call view that should give contextual information to help you better assist your customer.

8. Conference call
You can add a registered contact name, a new number, or a teammate to the call by selecting the Add or Call button.
⚠️ The Conference call feature is not currently supported on the iOS mobile app.

9. Transfer
Once you select to transfer your call, you can choose between a warm by selecting the option Talk first or a cold transfer by clicking on Transfer now.
